Index photographs supporting a rental asset inventory

Photographs can help connect an inventory description to the item actually installed. Record the room, date and asset identifier, and keep original files alongside any annotated copy. Images support a record but do not by themselves establish ownership, cost, business use or tax classification.

Work through the decision

  1. Assign consistent asset identifiers.
  2. Link each image to the relevant room and item.
  3. Preserve the source photograph.
  4. Flag inventory entries without supporting records.

For each action, name the person responsible for preparing the response and the person who approves it. Record what evidence would close the item. If new information changes cost, timing or scope, update the affected plan and identify who needs the revised version.

Common failure to avoid

Avoid using a listing photograph as proof that the buyer received an item. Confirm the actual handover and connect the evidence to the purchase records.

Worked example

In an illustrative handover, the dining table has an inventory identifier, a final room photograph and an invoice reference. An older seller image is retained separately because it shows a different set of chairs.

Close the handoff

A finished worksheet should identify the result, its evidence and any remaining owner. If the result is uncertain, record the next action instead of marking the whole task complete. Keep the worksheet with the relevant source file and tell the receiving person which version applies.
